Introduction
The United Nations Environment Programme (UNEP) serves as the designated entity within the United Nations system for addressing global and regional environmental issues. In support of the Convention on the Conservation of Migratory Species of Wild Animals (CMS), UNEP provides administrative functions for the CMS Secretariat, located in Bonn, Germany. The CMS aims to conserve and sustainably use migratory species and their habitats, with additional intergovernmental instruments adopted under its umbrella. The CMS Secretariat also houses the Secretariats for the Agreement on the Conservation of African-Eurasian Migratory Waterbirds (AEWA) and the Agreement on the Conservation of European Populations of Bats (EUROBATS).

Responsibilities
Under the supervision of the Legal Officer and Head of Conference Services, the Programme Management Assistant will:
- Coordinate CMS Projects and Programmes:
- Assist in project planning and preparation, monitoring programme/project proposals, and processing relevant documentation.
- Create and process grants and partners’ information in the Partnership Portal, including due diligence and agreements.
- Review project documents for completeness and compliance with regulations, distributing approved documents to relevant parties.
- Coordinate programme/project implementation activities, liaising extensively with units to initiate requests and process administrative actions.
- Compile, summarize, and enter data on projects, drafting related status reports and identifying delivery shortfalls or budget overruns.
- Plan and Organize CMS Secretariat Meetings:
- Organize meetings and workshops, handling travel and logistics arrangements.
- Coordinate administrative aspects of meetings, including recruitment, travel arrangements, payments, and procurement.
- Prepare meeting webpages, manage registrations, and prepare participants lists.
- Support document translation, formatting, and online posting, ensuring compliance with UN document standards.
- Provide support during meetings for podium, Secretariat Staff, and participants.
- Provide General Secretariat Office Support:
- Review, log, and route incoming and outgoing mail and correspondence, manage the organization’s email account.
- Draft meeting invitations, correspondence, periodic reports, briefing notes, and statistical summaries.
- Assist in data collection, analysis, and preparation of data presentations and reports.
- Update information material such as web pages or brochures.
- Respond to information requests and inquiries, maintain contacts, files, and records.
- Utilize and maintain various document databases and systems, provide guidance to new staff.
Requirements
Education: High school diploma or equivalent is required. Supplementary courses or additional training in administration are desirable.
Work Experience: A minimum of five (5) years of experience in programme or project administration, meeting organization, or related areas is required. Experience working in the secretariat of a multilateral environmental agreement is desirable. Experience with UMOJA or another Enterprise Resource Planning (ERP) system and data analytics is also desirable.
Languages: Fluency in English is required. Knowledge of French and Spanish is desirable. Knowledge of another official United Nations language is desirable.

Assessment
Evaluation of qualified candidates may include an assessment exercise followed by a competency-based interview.
