Job Overview

The Communication Assistant (Protocol) will play a crucial role in facilitating high-level meetings, ceremonies, and events involving government counterparts and other stakeholders. Reporting to the Communication Specialist, the Protocol Assistant will work closely with the Operations/Administration Unit to ensure seamless coordination and execution of protocol-related tasks. This position requires a combination of strong organizational skills, attention to detail, and the ability to effectively liaise with government institutions and diplomatic missions.

Responsibilities

  1. Event Coordination: The Protocol Assistant will assist in organizing high-level meetings, ceremonies, and events, ensuring all logistical arrangements are in place. This includes coordinating venue bookings, transportation, accommodation, and catering services.
  2. Liaison Support: Serving as a liaison for diplomatic matters related to UNICEF, the Protocol Assistant will foster strong collaboration with government institutions, embassies, and other agencies. Maintaining effective communication channels, the assistant will facilitate the exchange of information and ensure positive working relationships are maintained.
  3. Relationship Building: Building strong collaboration with government institutions, embassies, diplomatic missions, and other resident and non-resident agencies is essential. The Protocol Assistant will facilitate relationships between UNICEF and these entities on protocol matters, promoting mutual understanding and cooperation.
  4. Event Management: Managing the protocol aspects of events involving senior management and high-level officials, the Protocol Assistant will ensure all necessary arrangements are made. This includes preparing and maintaining agendas, coordinating with relevant stakeholders, and providing support during the events.
  5. Administrative Support: Providing administrative support on protocol issues, the assistant will liaise with the Ministry of External Relations (MINREX) and other relevant authorities. This includes processing clearance and entry permits for visiting personnel and equipment, as well as coordinating airport transfers and customs procedures.

Qualifications

To qualify for this role, candidates should possess:

  • Education: Completion of secondary education with specialized training in administration, diplomacy, or related fields. A bachelor’s or master’s degree is advantageous.
  • Experience: Minimum of 5 years of relevant experience in protocol support, public relations, communications, or general office management. Experience in administering protocol procedures and activities is highly desirable.
  • Skills: Proficiency in MS Word, Excel, PowerPoint, and other UNICEF software. Strong organizational, planning, and prioritization skills are essential. The ability to work effectively with people from diverse backgrounds and cultures is required.
  • Languages: Fluency in French and working knowledge of English is required.
