Purpose of the Position

The UN is recruiting temporary administrative support staff to replenish rosters for its Head Office in Geneva. Opportunities for longer-term positions may arise, and successful candidates will be placed on a roster for consideration. The incumbent will provide administrative support to professional staff members within the Department, assisting with a variety of tasks to ensure the smooth operation of daily activities.

Description of Duties

As an intern within the Department, you will undertake a range of administrative responsibilities, including but not limited to:

  1. Handling Correspondence: Receive, screen, and distribute incoming correspondence, attaching background information or related files as necessary. Forward correspondence to the appropriate staff members, addressing specific issues or problems as needed.
  2. Travel Coordination: Prepare travel plans and requests using online systems. Check timetables and costs with in-house travel agents, make flight and hotel reservations, and handle related matters as requested or on your own initiative.
  3. Deadline Monitoring: Collaborate with the Team Assistant and/or Assistant to the Director to monitor deadlines. Remind staff members of impending deadlines and ensure timely responses to correspondence and queries.
  4. Drafting Replies: Draft replies to general and administrative correspondence based on instructions or your own initiative. Finalize and send out responses as appropriate.
  5. Document Preparation: Type, edit for language and grammar, correct, and format technical reports, documents, and tabular materials in accordance with WHO and departmental styles. Assist in preparing presentations as needed.
  6. Information Management: Obtain documents and information from department and cluster staff, the administration, and other clusters, programs, and agencies/institutions as required. Perform information-resource searches (library, internet) as requested.
  7. File Maintenance: Maintain the work area filing system in collaboration with colleagues. Organize files for the professional staff members supported, obtaining relevant information as required.
  8. Visitor and Call Management: Screen and receive visitors and telephone calls with tact and discretion. Make appointments, answer queries, and redirect visitors and callers as needed.
  9. Meeting Organization: Participate in the organization of team and departmental meetings, workshops, seminars, etc. Provide assistance with preparation, including typing lists of participants, travel requests, letters of invitation, documents, and presentations.
  10. Secretarial Support: Provide secretarial support and assistance during meetings, workshops, and seminars. Type or amend reports and documents as needed.
  11. Financial Administration: Follow up on financial and budgetary issues concerning the Department/Unit. Ensure payments are processed within time limits. Prepare Excel spreadsheets as required.
  12. Enterprise Resource Planning: Utilize the Enterprise Resource Planning system (ERP) to initiate actions and contracts as instructed.
  13. Support as Required: Replace support staff as required. Perform other related duties as instructed, including providing support to other areas of work and teams within the department.

Required Qualifications

  • Education: Completion of secondary school education or equivalent. Secretarial, commercial, or administrative training is desirable.
  • Experience: At least 3 years of relevant practical experience for G4 level and at least 5 years for G5 level, preferably including experience in an international organization. Experience in meeting organization is an advantage.
  • Language Skills: Expert knowledge of English or French with intermediate knowledge of the other language. Intermediate knowledge of another UN language is an asset.
  • Skills: Proficiency in standard office software such as MS Word, Excel, PowerPoint, and internet applications. Training in Oracle-based or other ERP systems is desirable.

Remuneration

This position is subject to local recruitment, and candidates will be recruited in the local commuting area of each office. The annual salary ranges from CHF 67,497.- for G4 level to CHF 73,876.- for G5 level at a single rate, net of tax.
